You’ve wrapped up a big event or campaign. The donations are in, the adrenaline is fading and your to-do list still looks like a CVS receipt. We get it!

Pausing to write thank-you letters can feel like one more thing. But here’s the deal. If you want to turn that one-time donor into a long-term champion of your org, don’t wait too long to say thanks. Because silence is louder than you think.

Acknowledging someone’s gift or support isn’t just good manners, it’s a strategy. A prompt, heartfelt thank-you makes your supporter feel seen and appreciated, not just like another name in a spreadsheet. That emotional connection? That’s where the magic happens, baby.

The longer you wait to say thanks, the more distance you create. And if enough time passes, that warm, fuzzy feeling they had when they gave is *NSYNC (Gone). Replaced with “Did they get my donation?” or “Maybe they don’t need my support…”

Ideally, you should be thanking supporters within 48 hours. A week, max. If you’re sending snail mail, even a quick email first can bridge the gap until the letter lands. The key is to make sure your message is timely and thoughtful and not just a generic receipt with a signature from leadership slapped on.

Your thank-you should reflect your brand’s voice and values. Share a quick impact stat, a short story, a photo or even a video linked via a QR code. Keep it human. Keep it warm. And always make it personal when you can.
